You converted the lead. The contract is ready. The invoice has been sent.
Now comes the part where all of those moving pieces need to actually work together.
Kopf Consulting provides hands-on client onboarding automation support for solopreneurs and small teams that want a more reliable way to move new clients from “yes” to ready to work together without manually checking contracts, payments, emails, and next steps.
Whether you already have an onboarding process that needs improvement or are building one from scratch, I can help connect and automate the systems you use so fewer steps depend on someone remembering to check them.
What Can Be Automated?
Your exact workflow will depend on the platforms you use and how clients work with your business, but onboarding support may include:
- Triggering onboarding after a purchase, payment, contract signature, or other qualifying action
- Sending welcome emails and next-step instructions
- Generating and sending contracts or agreements
- Tracking outstanding signatures and triggering reminders
- Alerting you when a contract has not been completed
- Monitoring payment failures, declined payments, or overdue balances
- Sending clients secure links to update payment information
- Creating internal notifications and follow-up tasks
- Applying CRM tags, statuses, or pipeline updates
- Sending scheduling links or other required onboarding steps
- Connecting supported systems through native integrations, Zapier, or Integrately
- Testing the workflow from beginning to end before it is put into use
The goal is not to automate every human interaction. It is to automate the repetitive backend steps that do not need to be handled manually.
Contract and Payment Monitoring
Automation can do a lot, but there are times when you still need someone keeping an eye on what happens after the workflow starts.
Depending on your support plan and the systems involved, Kopf Consulting can also help monitor:
- Contracts that have not been signed
- Missing or incomplete onboarding requirements
- Failed or overdue payments
- Purchases that did not trigger the expected contract or onboarding workflow
- Automations that failed to complete as expected
When something needs your attention, you know about it before it becomes a much bigger problem.
Working With the Systems You Already Use
You do not need to replace your entire tech stack just to improve your onboarding process.
I work with a variety of CRM, payment, email marketing, scheduling, form, and e-signature platforms and can use supported native integrations, Zapier, or Integrately when your systems need help communicating with one another.
If your current setup cannot support the workflow you are trying to create, I will tell you that too. The goal is to build a process that works reliably – not pile unnecessary software onto your business.
What This Service Does Not Include

There are a few things I intentionally do not do as part of onboarding support:
- Collect credit card information through email, text, messaging apps, or other unsecured methods
- Call your clients to chase payments, signatures, or onboarding requirements
- Provide legal advice or determine what should be included in your contracts
- Provide accounting or financial advice
Payment information should be handled through the secure tools provided by your payment platform. Client reminders and notifications can be handled through trackable email and automated workflows.
Already Have an Onboarding Process That Isn’t Working?
You do not necessarily need to start over.
I can troubleshoot an existing onboarding workflow to determine why contracts are not being sent, notifications are being missed, integrations are failing, clients are receiving the wrong information, or manual steps are creating unnecessary work.
If you are not sure where the problem is, a Workflow Audit may be the better starting point.

How to Get Client Onboarding Automation Support
Client onboarding automation and monitoring are available through Kopf Consulting’s Pay As You Go and Flex Support options.
That means you do not need to purchase a separate onboarding package if you already know what needs to be built or fixed.
