Google Workspace Setup and Migration Are Not the Same Thing

If you are starting fresh with a new business email address, you may only need Google Workspace setup.

A migration is different.

Your existing business may already have:

The exact work required depends on where your email and files are currently stored, how much data needs to be moved, and how your existing accounts are configured.

Migrating Email from Other Providers

Not every business moving to Google Workspace is coming from Microsoft 365.

Your business email may currently be hosted through your website hosting provider, a dedicated mail server, another email provider, or a previous business-email service.

Depending on the existing system and the access it provides, I may be able to assist with migrating available historical email into the appropriate Google Workspace mailbox.

Before accepting the project, I will need to review:

Moving from Microsoft 365 to Google Workspace

Microsoft 365 and Google Workspace provide many similar business tools, but they do not organize or handle information in exactly the same way.

An email migration may involve moving available historical email from Microsoft 365 into Gmail while also creating the appropriate Google Workspace users and preparing the domain for the transition.

If files are stored in Microsoft OneDrive, those may also need to be moved into Google Drive as a separate part of the project.

What can be moved and how it appears after migration depends on the existing Microsoft environment, the source data, and the migration method being used.

The existing Microsoft 365 account should generally remain accessible until the necessary information has been transferred, the migration results have been reviewed, and the Google Workspace environment is ready for use.

Moving Files from Microsoft OneDrive to Google Drive

If your business uses Microsoft OneDrive, your file migration may be just as important as your email migration.

Moving files does not make Microsoft and Google storage environments identical.

Depending on the source files and account structure, the migration may require review of:

• Files and folders to be transferred
• Folder organization
• File ownership
• Sharing and access requirements
• Available Google Workspace storage
• Files that fail or are skipped during migration
• Microsoft-specific features that do not have a direct Google equivalent

Some permissions, sharing arrangements, metadata, formatting, links, or platform-specific functionality may need separate attention after the files have been moved.

Microsoft Word, Excel, PowerPoint, and other compatible files can remain in their existing file formats within Google Drive unless they are intentionally converted or recreated using Google applications.

What May Not Transfer Exactly

A Google Workspace migration is not necessarily a one-to-one copy of the system you are leaving.

Depending on the source platform and migration method, there may be limitations involving:

• Email folders and how they are represented in Gmail
• Email rules and filters
• Delegated mailbox access
• File permissions and sharing settings
• File ownership
• Version history
• Unsupported file types or email attachments
• Microsoft-specific functionality
• Calendar information
• Contact information
• Application-specific settings
• Historical account activity

I will identify known limitations during the review and migration process whenever possible, but additional limitations may become apparent once the source accounts, migration tools, and actual data are evaluated.

The Google Workspace Migration Process

1. Review the Current Environment

We begin with what you are using now.

I will review the existing email provider, file-storage system when applicable, number of users, domain configuration, available administrative access, and the information you want to retain.

This also helps determine whether the requested migration falls within my services.

2. Prepare Google Workspace

Before information can be moved, the destination environment needs to be ready.

Depending on the project, this may include configuring the Google Workspace account, creating users, verifying the domain, reviewing available storage, and preparing the appropriate Google services.

3. Prepare for the Migration

The existing accounts and available data are reviewed before the migration begins.

This may include confirming which mailboxes will be moved, determining where files should go, reviewing account access, and identifying known limitations before changing the live email configuration.

4. Migrate Available Email and Files

The approved email and file data is migrated using the method appropriate for the source environment.

Migration time can vary considerably based on the amount of information involved, the source platform, processing limitations, server conditions, and errors that may need to be reviewed.

5. Review and Test

Migration results are reviewed for errors, skipped items, or other issues requiring attention.

Applicable email accounts, files, access, and other migrated elements are also tested before the previous environment is considered ready for disconnection.

6. Complete the Transition

When appropriate, the domain’s email records are updated so new mail is delivered to Google Workspace.

Email authentication and other required DNS settings are configured or updated, and incoming and outgoing email is tested.

Depending on the migration method and timing, newly received or modified information may also need an additional migration pass before the previous service is discontinued.

Don’t Cancel Your Existing Service Too Soon

One of the most important parts of a migration is maintaining access to the system you are leaving until the transition has been completed.

Canceling Microsoft 365, an existing email provider, hosting account, or file-storage service too early could remove access to information that still needs to be transferred or reviewed.

Unless there is a specific reason to do otherwise, the previous service should remain active until:

• Required email and files have been migrated
• Migration results have been reviewed
• Important errors have been addressed
• The new accounts have been tested
• New email is reaching Google Workspace
• Users can access the information they need
• Any remaining information that must be retained has been backed up

Once the migration has been completed and verified, you can determine when it is appropriate to cancel or downgrade the previous service.

Can you migrate email if I am not using Microsoft 365?

Possibly.

Can you move my Microsoft OneDrive files to Google Drive?

Yes, this is a type of migration I have completed.

The amount and organization of the files, available account access, storage requirements, sharing configuration, and migration method will need to be reviewed before the project begins.

Some file-related information or Microsoft-specific functionality may not transfer exactly as it existed in OneDrive.

Will my Word, Excel, and PowerPoint files still work?

Compatible Microsoft files can be stored and accessed through Google Drive without automatically converting them into Google Docs, Sheets, or Slides.

If you want files converted or workflows redesigned around Google applications, that would need to be included in the project scope.

Will my email stop working during the migration?

The transition is planned to minimize unnecessary interruption, but I cannot guarantee that a provider, DNS change, migration process, or third-party system will never experience a temporary delay or issue.

Historical email can often be migrated separately from the final email transition, allowing the existing service to remain available while other migration work is taking place.

Can I keep the same business email address?

Usually, yes.

If your business is keeping the same domain, the email address can generally remain the same while Google Workspace becomes the new email provider.

The domain and DNS configuration must be updated appropriately during the transition.

Should I cancel my current email provider or Microsoft 365 first?

No.

Your existing service should generally remain active until the required migration work has been completed, important data has been reviewed, and the new Google Workspace environment has been tested.

Can you migrate calendars and contacts too?

Possibly, depending on the source environment and migration method.

If calendars, contacts, or other data need to be transferred, include that information when you inquire so I can determine whether it can be included in the project.

There is no standard migration time.
