Kopf Consulting, LLC – Sales & Refund Policy

1. Scope
This Sales & Refund Policy applies to purchases of services, support plans, digital products, templates, and other paid offerings from Kopf Consulting, LLC (“Kopf Consulting,” “we,” “us,” or “our”).
Certain services are also governed by a Client Agreement, service agreement, proposal, checkout terms, or other written terms provided at the time of purchase or enrollment.
If a Client Agreement or other service-specific written agreement contains terms that differ from this policy, the terms of that agreement will control for that service.
Nothing in this policy is intended to limit any rights or remedies that cannot legally be waived under applicable law.
2. Payment
Payment is due according to the terms presented when you purchase a product or service, receive an invoice, enroll in a support plan, or enter into a Client Agreement with Kopf Consulting.
Available payment methods may vary depending on the service, checkout platform, or third-party payment provider being used.
By submitting payment information or authorizing a recurring payment arrangement, you authorize the applicable payment processor or platform to process the charges associated with your purchase according to the terms provided at enrollment.
Kopf Consulting does not guarantee that a particular payment method will always be available.
3. General Refund Policy
Unless otherwise stated in a Client Agreement or required by applicable law, all payments made to Kopf Consulting are non-refundable.
This includes, but is not limited to:
- One-time technical services
- Temp Tech services
- Quick Gigs
- Pay As You Go services
- Flex Support packages
- Monthly Maintenance services
- Consulting and training sessions
- Podcast setup or management services
- Workflow audits
- Hiring or matching services
- Digital products
- Templates
- Downloads
- Other products or services purchased through Kopf Consulting
A change of mind, change in business circumstances, failure to use purchased services, or decision not to proceed after payment does not create a right to a refund unless otherwise provided in writing.
4. Prepaid Support and Service Packages
Certain Kopf Consulting services allow clients to purchase time, support, or a defined scope of work in advance.
Payments for prepaid services and support packages are non-refundable.
Any expiration dates, usage requirements, scheduling requirements, scope limitations, or other conditions associated with a prepaid package are provided with the applicable service and, when applicable, in the Client Agreement.
Unused time or services are not redeemable for cash and are not refundable solely because they were not used before an applicable expiration date.
If a Client Agreement contains different terms regarding unused time, expiration, cancellation, or service credits, the Client Agreement will control.
5. Recurring Services and Automatic Payments
Certain Kopf Consulting services are billed automatically on a recurring basis.
Monthly Maintenance
Monthly Maintenance is an automatically renewing monthly service.
By enrolling, you authorize recurring charges according to the price, billing schedule, cancellation requirements, and other terms presented at enrollment or included in your Client Agreement.
The service continues to renew until canceled in accordance with those terms.
Cancellation stops future renewals according to the applicable cancellation requirements. Payments that have already been processed are non-refundable, unless otherwise required by law or stated in your Client Agreement.
Legacy and Discontinued Recurring Plans
Some existing clients remain enrolled in legacy or discontinued recurring plans that are no longer offered to new clients, including legacy Pay As You Go Bundle Retainer arrangements.
Those clients remain subject to the billing, cancellation, notice, renewal, and other terms contained in their existing Client Agreement.
The continued existence of a legacy plan for an existing client does not mean that plan is available for new enrollment.
6. Cancellation of Services
Cancellation terms vary depending on the service.
For recurring services, cancellation must be submitted according to the notice requirements and procedures provided when you enrolled or stated in your Client Agreement.
For one-time services, canceling after payment does not automatically entitle you to a refund.
If work has already begun, time has been reserved, resources have been allocated, or a service has otherwise entered the fulfillment process, the payment remains non-refundable unless the applicable Client Agreement states otherwise.
When a specific Client Agreement contains cancellation provisions, those provisions take precedence over this general policy.
7. Digital Products, Templates, and Downloads
Digital products, templates, ebooks, downloads, and other electronically delivered products are non-refundable once purchased, except where required by applicable law.
Because access or delivery may occur immediately after purchase, we do not offer refunds simply because:
- You changed your mind
- You no longer need the product
- You purchased the wrong item
- You did not download or use the product
- The product is incompatible with software, systems, or circumstances not identified as supported in the product description
If you experience a technical problem accessing a purchased digital product, please contact us at contact@kopfconsulting.org.
We will make reasonable efforts to resolve legitimate delivery or access issues.
8. Third-Party Platforms and Fees
Some Kopf Consulting services may be purchased, managed, tracked, or paid through third-party platforms such as Upwork or other payment and service providers.
Those platforms may charge their own transaction fees, marketplace fees, payment-processing fees, currency-conversion fees, or other charges.
Third-party fees are established and collected by the applicable platform and are subject to that provider’s own terms and refund policies.
Kopf Consulting does not control those fees and cannot refund amounts charged directly by a third-party platform.
9. Failed or Declined Payments
If a payment is declined, reversed, fails to process, or becomes past due, we may contact you to update your payment method or resolve the outstanding balance.
Work, access to services, recurring support, or delivery of additional work may be paused until the account is brought current.
If a third-party platform suspends or restricts a payment method, account, or contract, Kopf Consulting may also be unable to continue work until the issue is resolved.
Any additional rights or remedies related to unpaid balances are governed by the applicable Client Agreement and applicable law.
10. Billing Errors and Payment Disputes
If you believe you were charged incorrectly, charged more than once, billed after a valid cancellation took effect, or experienced another billing problem, please contact us at contact@kopfconsulting.org so we can review the issue.
Nothing in this policy prevents you from exercising any payment-dispute or billing-error rights available to you under applicable law or through your card issuer or payment provider.
However, initiating a payment dispute does not automatically cancel a valid Client Agreement or eliminate amounts legitimately owed for authorized services that were provided.
11. Service Delivery and Scope
Purchasing a service does not expand the scope beyond what is included in the applicable service description, proposal, checkout page, or Client Agreement.
Additional work, revisions, requests, or services outside the purchased scope may require additional payment.
Failure to provide requested information, access, approvals, materials, or other items needed to complete the work does not create an automatic right to a refund.
12. Recurring-Service Disclosures
When you enroll in an automatically renewing service, the applicable pricing, billing frequency, and cancellation terms are provided as part of the enrollment or agreement process.
Recurring services continue according to those terms until properly canceled.
13. Changes to This Policy
We may update this Sales & Refund Policy from time to time.
The “Last updated” date at the top of this page reflects the most recent revision.
Changes to this website policy do not retroactively replace or modify the terms of an existing Client Agreement unless the agreement itself allows for that change or the parties agree to it in writing.
