Real Technical Problems. Practical Solutions.
Technical problems rarely arrive with a clear label or an obvious solution. Sometimes a system is not working as expected. Sometimes information must move between platforms that were never designed to communicate. In other situations, the challenge is determining which system to use in the first place.
These success stories highlight a few of the specific technical problems clients have brought to Kopf Consulting and how I helped resolve them. Every business and technical setup is different, so the process and solution for your business may not be identical. The stories simply demonstrate the types of challenges I have successfully addressed.
Protecting Client Privacy
Each story is based on work completed for a real client. Client and company names have been omitted. Certain identifying details, platform combinations, and technical specifics have also been generalized to protect client privacy and proprietary business information.
Correcting an Inconsistent Domain Redirect
The situation
A business owner was transitioning from a domain she had used for many years to a new domain. A redirect had already been put in place, but it only worked consistently in certain browsers. Visitors using other browsers were not always directed to the new website.
How I helped
I reviewed the domain, DNS, and redirect configuration to identify what was causing the inconsistent behavior. After correcting the setup, I tested the redirect across different browsers to confirm that it worked reliably.
The result
Visitors using the established domain were consistently directed to the new website. This created a smoother transition and helped preserve the continuity, recognition, and visitor trust associated with the domain the business had used for years.
Resolving Email Authentication Errors in a CRM
The situation
A client was receiving email authentication errors when sending messages through Zoho CRM. The CRM had not been properly authenticated as an authorized sender for the client’s domain.
How I helped
I reviewed the existing email and domain configuration, then added the required DNS records for Zoho CRM and Google Workspace. Once the records had time to propagate, I verified that SPF, DKIM, and DMARC were properly configured and met current email authentication requirements.
The result
Zoho CRM was properly authorized to send email using the client’s domain. The corrected configuration resolved the authentication problem and gave the client a properly established foundation for sending messages through the CRM.
Connecting Mailgun and Close CRM for Bulk Email
The situation
A client had switched to Mailgun and needed help configuring it as the email-sending service for bulk messages sent through Close CRM.
How I helped
I set up the Mailgun account, created and verified the authorized sender, and connected Mailgun to Close CRM. I then reviewed and tested the configuration to confirm that the systems were communicating properly.
The result
The client could send bulk email through Close CRM using a properly configured and authorized email-sending service instead of trying to navigate the technical setup independently.
Eliminating Manual Transfers of Facebook Leads
The situation
Leads submitted through a Facebook lead form had to be manually exported and imported into the client’s business systems. The repeated process took time and created opportunities for delays, missed leads, and data-entry errors.
How I helped
I created a Zapier automation that transferred information from the Facebook lead form into the client’s primary scheduling and customer-management platform. Based on the action selected by the lead, the information could also be routed into a second system when necessary.
The result
New lead information began moving into the appropriate systems automatically. The client no longer needed to repeatedly export, organize, and import the submissions by hand, allowing leads to enter the intended process more quickly and consistently.
Creating a Custom Connection Between Platforms
The situation
A client was transitioning away from one business platform and needed future opt-ins to enter a new email marketing system. The platforms involved did not provide a standard native integration, and access to their systems was restricted.
How I helped
I investigated the available connection options and worked with platform support to establish a custom webhook-based solution. The connection was then configured and tested so that new opt-in information could pass into the client’s new email marketing system.
The result
Future opt-ins could move into the new system automatically, allowing the client to continue the platform transition without manually transferring every new contact.
Selecting and Building a Ready-to-Use CRM
The situation
A business owner wanted a user-friendly, free or low-cost CRM that could manage contacts, contracts, and payments. She needed more than a software recommendation; she wanted the selected system prepared for actual use.
How I helped
I discussed the client’s needs, priorities, and preferred way of working. I then researched suitable CRM options and created a comparison outlining the advantages and disadvantages of each.
After the client selected HoneyBook, I configured the account with the company’s information, templates, workflows, automations, smart files, forms, contracts, and payment settings.
The result
Instead of receiving an empty CRM account that still required extensive setup, the client received a system organized around her business and prepared for her to begin using with new contacts and clients.
