Platforms organize contacts, fields, tags, lists, pipelines, forms, templates, automations, and integrations differently. Information that exists in one system may need to be reorganized, rebuilt, or replaced before it can work properly in another.

Why Platform Migrations Require Planning

A contact export may move names and email addresses, but it does not automatically recreate the system you have built around those contacts.

A migration may also involve:

The work included in a migration depends on the platforms involved, the condition of the existing account, and what needs to function in the new system.

What May Need to Be Rebuilt

Some platforms provide migration tools or services, but those tools may only move a limited amount of information.

Depending on the systems involved, the following may need to be recreated manually:

  • Automated workflows and customer journeys
  • Email templates and sequence content
  • Forms and landing pages
  • Tags, segments, groups, and custom fields
  • CRM pipelines and internal tasks
  • Checkout, registration, and delivery automations
  • Integrations with outside platforms
  • Reports and dashboards

Past campaigns, historical reporting, activity records, and other account information may not be transferable.

Stored payment details, active subscriptions, payment schedules, and other billing arrangements may require separate handling based on the platforms and payment processors involved. Some information may be eligible for a secure processor-supported transfer, while payment settings, subscriptions, checkout connections, or billing workflows may need to be recreated.

I will identify known limitations during the review and scoping process whenever possible. New limitations may still become apparent once account access, exports, or platform-specific migration tools are reviewed.


Protecting Your Contact Data

Contact statuses must be reviewed carefully during a migration.

Unsubscribed, bounced, cleaned, suppressed, or otherwise ineligible contacts should not be treated as active subscribers simply because they appear in an exported file. Importing contacts without reviewing their status can create list-management, deliverability, and account-compliance problems.

Migration support may include reviewing the available contact data, identifying how statuses are represented in the existing platform, and determining how they should be handled in the new system.

The client remains responsible for confirming that the contacts being transferred were collected and may be used in accordance with the client’s legal, contractual, and platform requirements.


The Migration Process

1. Review the Existing and New Platforms

You will provide information about your current system, the platform you plan to use, what needs to be retained, and what you expect the new setup to do.

I will review the available information and confirm whether the requested migration falls within my services.

2. Identify What Can Transfer

The existing contacts, fields, tags, forms, templates, automations, integrations, and other account elements will be reviewed to determine what can be exported or transferred and what will need to be rebuilt.

3. Confirm the Scope

You will receive a proposed scope based on the platforms involved and the work required. Platform migrations are custom-scoped because two accounts using the same software can contain very different amounts of data and automation.

4. Prepare and Configure the New System

The new account will be organized and configured based on the approved scope. Contacts and other available information will be imported, while required forms, workflows, and connections will be recreated.

5. Test the Setup

Applicable forms, tags, triggers, sequences, integrations, links, and automations will be tested before the transition is considered complete.

6. Complete the Transition

The final transition may include updating website forms, reconnecting outside systems, changing sending information, or completing other approved steps needed to begin using the new platform.

The previous account should generally remain available until the required information has been backed up and the new setup has been reviewed and tested.

Can everything in my current account be moved?

Not necessarily.

No.

The existing account should generally remain active until the necessary information has been exported or backed up and the replacement system has been configured and tested.

Canceling too early may remove access to contacts, templates, reports, automations, account settings, or other information needed for the project.

Can stored payment information be transferred?

Payment information may be restricted, encrypted, or stored by a separate payment processor rather than the CRM itself.

Active subscriptions, payment methods, invoices, and billing arrangements must be reviewed individually. Some payment-related information or connections may need to be recreated instead of migrated.

Will the new platform work exactly like the old one?

Not necessarily.

Platforms use different features, triggers, terminology, and workflow structures. The new system may accomplish the same general outcome through a different process, or it may not support a particular feature at all.

I will explain known differences and limitations during the project review whenever possible.

Can you guarantee that there will be no interruption?

No provider can guarantee that every migration will be completed without a temporary issue or unexpected platform limitation.

Careful planning, backups, testing, and an appropriate transition period can reduce avoidable problems. The exact process will depend on the platforms and systems involved.
